Write the message around your invoice
The names and amount below are examples. Your changes stay in this page and are not saved when you leave. This tool does not send email or attach files.
Check the amount, currency, due date and current payment status before you send. Blank fields appear as bracketed placeholders.
Choose the message for the actual situation
New invoice
Use when you first share the invoice. State the work, amount and due date, and invite the client to flag billing errors. Attach the finished invoice before sending.
Friendly reminder
Use for a brief check-in around the agreed due date. The draft leaves room for a payment already in progress and asks whether the client needs anything to process it.
Payment follow-up
Use when you need an update. Ask for the payment date or reference if it was sent, or an expected date if it is pending. Check your records before following up.
The draft does not decide whether an invoice is overdue. It uses the date you supply without asserting missed deadlines, adding fees or threatening collection action.
Example: sending a website maintenance invoice
The example in the builder is for Morgan at Studio North, invoicing Alex for October website updates. Invoice INV-1042 is for USD 1,250.00 and lists November 12, 2026 as its due date.
Subject: Invoice INV-1042 — Morgan at Studio North
Hi Alex,
Here is invoice INV-1042 for the October website updates. The amount is USD 1,250.00, with payment due on November 12, 2026.
Please use the payment details shown on the attached invoice and include the invoice number as your reference.
Please check the attached invoice and let me know if any billing details need correcting.
Thank you,
Morgan at Studio North
For an hourly project, replace the work description with something specific, such as “8 hours of September support.” For a milestone invoice, name the milestone. Keep the amount and currency exactly aligned with the invoice attachment.
Before you send
- Replace the example names, reference, amount, currency and project. Resolve any bracketed placeholders.
- Check the date against the invoice. Use the due date calculator if your agreement specifies a calendar-day interval.
- Use the agreed billing contact and include a purchase order or project reference when the client requires one.
- Attach the correct PDF, or change the draft to refer to your actual delivery method if using a link or billing portal.
- Read the payment instructions and confirm your records before sending a reminder.
The UK Small Business Commissioner recommends clear payment terms, invoice references and the right delivery contact in its effective invoicing guide. These drafts help organize a message; they do not verify an invoice or establish its payment terms.
Invoice email questions
Will this tool email the client?
No. It creates text to copy. You choose the recipient, attach your invoice, review the draft and send it in your own email app. It does not schedule reminders.
Can I use it with an invoice from another tool?
Yes. Enter the reference, amount, currency, due date and description from that invoice. This builder does not read attachments, so check those details yourself.
What if the client has already paid?
Check your records before sending. If you only need to match a payment to an invoice, edit the follow-up to ask for its reference and date. Do not send a request for payment you have already received.
Are my client details saved?
The builder keeps your changes in the current page. It does not save drafts or submit your entries to InvoiceGen. Copy the message before leaving or reloading. Read the privacy page for site-wide analytics and advertising details.
